The 10-Second Answer

These people have access to In Progress and Completed processes:

  • The Task Assignees - the people who are assigned tasks in the process and

  • The Process Owners - the list of people who can monitor and administer the process.

For Draft Processes:

  • The only person who can see a Draft process is the person who created the draft.

For Process Templates:

  • Template Owners can edit and update the templates they own

  • Any Member of the account can view all published templates and start new processes from them

How to Add a Process Owner

  • View the process

  • Click gear iconĀ 

  • The Process Settings panel will then appear with lists of its Owners, Roles and Assignees

Process Owners

It's the responsibility of the Process Owners to manage the checklist. Any Member can be made a Process Owner.

Process Owners can...

  • Add and remove other Process Owners

  • Edit, pause, update, resume and stop the process

  • Reopen or complete tasks (while editing the process)

  • Can assign and reassign tasks to others

  • Be assigned tasks for which no other task assignee is set.

  • Receive notifications when issues arise (and can address those issues with their ability to edit and update the checklist)

  • Contact anyone involved in the process

Roles and Assignees

The list of Roles and Assignees includes every person who has at least one task assigned to them. Tasks may only be completed by the person to whom they are assigned (or by a Process Owner who is editing the process).

If a task is assigned to a Role, then an Assignee must eventually be assigned to the Role. Only the Assignee can complete a task.

Assignees can...

  • Complete tasks which have been assigned directly to them or assigned to them via a Role assignment.

  • Reopen tasks they have recently completed

  • Contact anyone involved in the process
