TeamworkIQ sends email messages when you want them. You control the when and that includes not getting them at all.

Default settings

When your user account is first created, your default email preferences are as follows:

  • Workflow Notifications: Delivered to your email address when tasks are ready for you, when your checklists start or complete or when certain other events occur on your checklists. Default setting: On.
  • Progress Report: Delivered at most once per day to your email address. Default schedule: Monday through Friday at 8am.
  • My Assignments Due Report: Delivered at most once per day to your email address. Default schedule: Monday through Friday at 8am.

These default settings help to familiarize you with TeamworkIQ messages.

How to change these settings

You may change these settings at any time. 

For example, you might want to disable Workflow Notifications and simply use My Assignments and In Progress views to stay up-to-date.

To turn off email notifications, you need to update your Email Notification and Report Settings. To do this, follow the steps below.

STEP 1
In the main menu, click on your email address to access the User Menu:

In the User Menu, select Email notifications, report settings

This will open the Email and Report Settings screen:

If you would like to stop receiving Workflow Notifications, click Workflow Notifications and set the radio button to Off and click Save

Later, if you want to reenable Workflow Notifications, set the radio button to On and click Save.

STEP 4
If you would like to disable Progress Reports, or if you want to change the schedule for Progress Reports, click on Progress Update. This will allow you to choose the weekdays and time. 

To completely disable Progress Reports, uncheck all seven days. Click Save.

To request delivery on Monday at 9am, check only the Monday box and set the time to 9am. Click Save.

You can change these settings any time you like.

STEP 5
If you would like to disable My Assignments Due Report, or if you want to change the schedule for My Assignments Due Report, click on My Assignments Due Report. This will allow you to choose the weekdays and time. 

To completely disable My Assignments Due Report, uncheck all seven days. Click Save.

To request delivery on Monday at 9am, check only the Monday box and set the time to 9am. Click Save.

You can change these settings any time you like.

What are the drawbacks of turning off Workflow Notifications?

If you turn off Workflow  Notifications:

  • You will not be notified immediately when your assigned tasks become ready.
  • You will not be notified if problems occur in checklists that you own. For example, you will not be notified if a task does not have an assignee.
  • You will not be notified when a checklist that you own is completed or stopped. 
  • You will not be notified if a co-owner of one of your checklists edits that checklist and makes important changes to it. 

If you turn off Workflow Notifications, you should probably set My Assignments Due Report so that it sends a briefing to you every morning, or you should check TeamworkIQ frequently for updates.

Does this disable Password Reset email messages?

No. If you need to reset your password, the Password Reset email message will be sent even if you have disabled Workflow Notifications and Report Notifications.

Can I still create a checklist by sending a message to TeamworkIQ?

Yes. And if you do this, you will still receive an email reply to let you know that your message was successfully processed and to allow you to review and start the resulting checklist.

Can I receive workflow messages via SMS or Slack instead of via email?

For now, you can do this by providing an email address that is routed through an email-to-SMS or email-to-Slack gateway. In the future, we will support such features more directly.
